Keep your receipts — or photograph them as you go

You don't need everything at once. Each receipt is photographed and saved on its own, so you can add them as you buy things and submit when you're done. For each one you'll say what it was and the amount; at the end you'll give the name the check should be written to and the address it should go to.

The form adds your receipts up for you — the total you request is their sum.

Open the form and pick the event

Your community shares a reimbursement link — on a flyer, in an email, or from an organizer — and every event's page has a shortcut that opens the form with that event already chosen. It works without an account. Search for the event the money was for, and add more than one if your receipts cover several. Not on the list — still being planned, or never added — or not for an event at all? Describe it instead, with its date.

Club events show their club's name, so two events with the same title are easy to tell apart.

Photograph each receipt

Tap Take a photo to open your phone's camera, or Choose a file for a photo you already have or a PDF. The picture appears with room for what it was and the amount — and, when the request covers several events, which event it was for. Save it, and the next receipt is one tap away. One receipt covering several events, like a shared snack run? Choose Split between events and give each event its share.

Every receipt saves as you go, so you can close the page and come back. Signed out, it's saved on that browser; Email me a link lets you finish on another device. Requests left untouched for 30 days are deleted, receipts included.

Check the details, then submit

The last step is the check: who to make it payable to, and the address to mail it to. Signed-in neighbors find their details filled in already. Tick the box certifying the details are accurate and the receipts are yours, then submit — or Save for later. If you weren't signed in, we email you a confirmation link first — nothing reaches the treasurer until you click it, so a typo'd address never files a request in your name.

That link works once and expires after 30 minutes. If it lapses, or the address was wrong, the check-your-email page takes the request back to a draft with your receipts intact.

What happens next

Your community's treasurer reviews the request with your receipts and approves or declines it, and you get an email either way including any note they left. If something just needs fixing — a receipt they can't read, a wrong amount — they can send it back instead: you get an email with what to change and a link that opens your request, where you can replace a photo or correct a detail and submit it again. Nothing you entered is lost, and it isn't deleted while it waits for you. Approved requests are bundled into a packet — your form followed by your receipts as one PDF — and forwarded to the association or management company that writes the checks. The check is mailed to the address you gave.
